Milestones is the reporting home of Agencydesk's project management layer. It gathers every Milestone across every active Job into one priority-ordered list, grouped by urgency and colour-coded by status, so an Account Executive or project manager can see what is due, what is slipping, and what is next without opening a single Job.

Because Agencydesk was built exclusively for agencies, a Milestone here is always tied to real work, so its status looks after itself. Progress is read straight from the Task, Task Group, or Cost the Milestone depends on, and the status follows from that. There is nothing to mark off by hand, which keeps the report honest even on a busy retainer where nobody has time to maintain a separate plan.

Open it from Reports in the left-hand navigation, then the Milestones tab.

This report is for monitoring. Milestones are created and edited on the Job itself, from a Task, a Task Group, a Cost, or the Job timeline, so they always carry their full context. Clicking any row here takes you straight to that Milestone on its Job timeline to make changes.

The summary cards

Three cards sit at the top of the report, each with a live count and a one-line reminder of what it holds: Overdue (needs attention now), Due today (on the hook today), and This week (overdue plus the next seven days). Each card is also a filter.

Click a card to scope the whole list to that set. Click it again, or clear the tag, to return to the full view. Because This week already folds in everything overdue, nothing urgent falls outside it.

Great for the daily stand-up. Click Due today and the list, along with any PDF you export, narrows to exactly what is on the hook today.

Filters

Four controls sit above the list:

  • Account Manager — narrow the list to one Account Executive's book.

  • Client — filter to a single Client's Milestones.

  • Job Category — filter by service line, using the Job Categories set up in Company Settings.

  • Department — filter to the discipline doing the work, for example Design, Development, or Print. The Department is read from the connected Task, Task Group, or Cost, and set up under Departments.

A Search field finds a Milestone by its name, its connected work, Job number, Job name, or Client name.

When no summary card is active, a horizon switcher (This week, Next 2 weeks, This month, Everything) sets how far ahead the list looks.

Standalone Milestones are not attached to any discipline, so they drop out of the list when a Department filter is applied.

The list at a glance

Above the list, a Showing N milestones line tells you how many rows the current card, filters, and horizon have left in view, with the trailing phrase tracking whatever filter is active, so you always know the size and scope of what you are looking at. Alongside it, a small colour key names the three connectable types: Task (blue), Group (purple), and Cost (orange). Standalone Milestones carry no connected work, so they are not colour-keyed.

Every row carries the Milestone name with its connection tag and the connected work beneath it, for example a Task Milestone tagged to Keyword Research or a Cost Milestone tagged to Print Production. That second line tells you, without opening anything, exactly which piece of work the date is riding on.

Grouped by urgency

Milestones are grouped into time buckets, always in this order: Overdue, Due today, This week, Next week, and Later. The order is the priority. Read the report top to bottom and work down.

Each Milestone carries a status that Agencydesk keeps current on its own:

  • Upcoming (blue) — due date still ahead.

  • Overdue (red) — the moment its date passes.

  • Done (green) — visually receded so it stays out of the way.

What it shows

Milestone / linked to

The Milestone name, and beneath it the Task, Group, or Cost it connects to, tagged by type

Job

The Job name and number the Milestone belongs to

Client

The Client on that Job

Progress

How far the connected work has come, read differently per type (below)

Due

The Milestone date, with how many days away or overdue it is

Every row is clickable and opens the Milestone on its Job timeline.

How progress is calculated

Progress is never entered by hand. It comes from whatever the Milestone is connected to, and it drives the automatic status. What the Progress cell reads depends on the connection:

  • Task — a percentage with a bar, for example 80% complete, from tracked time against estimated time, capped at 100% so over-tracking never reads above full.

  • Task Group — the completed-Task count and its percentage together, for example 2 tasks · 43%. This is a count of completion, not a time measure.

  • Cost — Purchase Order fulfilment, shown as raised against total, for example 3/5 POs · 75%. A Cost with a single PO reads 0% until it is fulfilled, then 100%. When the Cost has a PO with a delivery date set, that date pre-fills the Milestone date, otherwise you set it by hand.

  • Standalone — no deliverable behind it, so the cell shows the status word, for example Upcoming, rather than a bar.

The bar is colour-graded the same way it is across Agencydesk, filling green as work approaches done, so a glance down the Progress column shows which deadlines are comfortable and which are not.

Great for knowing whether a deadline is actually at risk. A Milestone due Friday whose Task sits at 20% tracked is a very different conversation from one sitting at 90%, and you can see which without opening the Job.

Connection types

Each Milestone is tagged by what it connects to, so you can tell at a glance what you are looking at:

  • Task (blue) — a single deliverable.

  • Group (purple) — a whole workstream.

  • Cost (orange) — a procurement item. A Cost connection also surfaces the supplier and PO count, turning a delivery Milestone like 1,000 branded soccer balls into something with real money and fulfilment behind it.

  • Standalone — a fixed date with no deliverable attached.

Exporting

The Export PDF button produces a clean copy of whatever is currently on screen. The active summary card, filters, and search all carry through, and the button label reflects the scope, for example Export · This week, so the export always matches the view.

Great for client check-ins and internal WIP meetings. Filter to the Client, or to the Account Executive's book, pick the horizon, and export the exact slice you are about to talk through.

Why edits happen on the Job

Milestones are deliberately read-only in this report. Creating or changing a Milestone away from its Task, Group, or Cost risks duplicates and decisions made without context. So every row links back to the Job timeline, where the Milestone sits beside the work it measures, which is also where it was created.
