# Milestones

Monitor Milestones across Jobs, filter by date, Client, Department and Account Managers, inspect linked work, and print a PDF or export the filtered report to Excel.

**Milestones** is the reporting home of Agencydesk's project management layer. It gathers every Milestone across every active Job into one priority-ordered list, grouped by urgency and colour-coded by status, so an Account Executive or project manager can see what is due, what is slipping, and what is next without opening a single Job.

Because Agencydesk was built exclusively for agencies, linked Milestones sit beside the Tasks, Groups and Costs your team delivers. The report reads their supplied progress and Milestone status, giving Account Executives a place to monitor deadlines without maintaining a separate list. Standalone Milestones can mark fixed dates without linked work.

Open it from **Reports** in the left-hand navigation, then the **Milestones** tab.

{% hint style="info" %}
This report is for monitoring. Add and edit Milestones from the [Job Timeline](/jobs/timeline.md) or the Tasks tab’s compact milestone timeline, then choose Task, Group, Cost or Standalone in the popup. A report row takes you to that Milestone’s Job Timeline; open its marker to make changes.
{% endhint %}

## Choose a date view

The date views above the list are **Everything**, **Overdue**, **Due today**, **Next 2 weeks**, and **Completed**. On a small screen, choose the view from the dropdown instead.

| View         | What it includes                                                                                                                      |
| ------------ | ------------------------------------------------------------------------------------------------------------------------------------- |
| Everything | All non-completed Milestones in the report, including overdue and later dates. Completed Milestones are shown in their separate view. |
| Overdue      | Non-completed Milestones with a due date before today.                                                                                |
| Due today    | Non-completed Milestones due today.                                                                                                   |
| Next 2 weeks | Non-completed Milestones due today or within the next 13 days. Overdue Milestones are outside this view. |
| Completed | Milestones marked complete in the report. |

{% hint style="info" %}
**Great for** a daily stand-up. Start with Overdue to discuss missed dates, then move to Due today and Next 2 weeks. That keeps the late work in view before you discuss the next delivery window.
{% endhint %}

## Filter and search the list

{% stepper %}
{% step %}

### Choose the date view

Select the view that matches the meeting or review. Next 2 weeks is the initial view unless this browser has remembered a different choice.
{% endstep %}

{% step %}

### Choose the Client and Department

Use **All Clients** and **All Departments** to choose one Client and one Department. Each picker has a search field and a clear control. The Department comes from the linked Task, Group’s Tasks, or Cost. Standalone Milestones do not match a Department filter.
{% endstep %}

{% step %}

### Choose Account Managers

Open **All Account Managers** and select one or several names. This narrows the list to their Jobs. Remove those selections to return to all managers.
{% endstep %}

{% step %}

### Search the remaining rows

Use **Search** to find a Milestone name, connected work, Job name or number, Client, Account Manager, or Job Category text. Search combines with the date view and the three pickers. There is no separate Job Category picker.
{% endstep %}

{% step %}

### Clear a narrow view

If expected rows are missing, check the date view, clear Search and clear the selected Client, Department and Account Managers. Use Everything for all non-completed Milestones, or Completed for finished ones.
{% endstep %}
{% endstepper %}

These choices are remembered when you return to the report or reload it, in this browser for the account and your user. They do not sync between devices. If browser storage is blocked or cleared, the report may open with the defaults. Expanded Group rows are separate from these saved filters.

## The list at a glance

Every row carries the Milestone name with its **connection tag and the connected work** beneath it, for example a Task Milestone tagged to *Keyword Research* or a Cost Milestone tagged to *Print Production*. That second line tells you, without opening anything, exactly which piece of work the date is riding on.

Row-level connection tags identify Tasks, Groups and Costs; standalone Milestones have no linked work. There is no separate Task/Group/Cost colour key above the list.

## Grouped by urgency

The list groups the visible Milestones into **Overdue**, **Due Today**, **This Week**, **Next Week**, **Later**, or **Completed** as appropriate to the chosen view. This Week covers the next six days after today, and Next Week covers days 7–13 from today.

Upcoming Milestones are blue, overdue dates use the overdue colour, and completed work is visually receded. The report reads completion status from the Milestone; a 100% progress bar alone should not be treated as a separate manual completion action.

## Reading a Milestone row

| Column    | What it shows                                                                               |
| --------- | ------------------------------------------------------------------------------------------- |
| Milestone | The name, connection tag and linked work. Group Milestones with Tasks have an expand arrow. |
| Job | The Job name and number. |
| Client | The Client on the Job. |
| AM | The Account Manager for the Milestone’s Job. Expanded Task rows leave this column blank. |
| Progress | The supplied progress of the linked work, or a status word for a standalone Milestone. |
| Due | The date, and its distance from today or number of days overdue. |

## How progress is calculated

The Progress cell reads the figures supplied for the linked work. It is a monitoring measure; you do not edit progress in this report.

* **Task** — the Task’s progress percentage, capped at 100% for display. If no progress figure is supplied, the cell can show No estimate.
* **Group** — the number of Tasks and Group progress, for example 2 tasks · 43%. The Task count is the number in the Group, rather than a completed-Task count. The report uses supplied Group progress, or estimated-time-weighted Task progress when available.
* **Cost** — the Cost’s supplied progress or completion figure. Supplier and PO counts can appear alongside it. A PO count does not by itself confirm supplier delivery.
* **Standalone** — Upcoming, Overdue, or Completed, rather than a linked-work progress bar.

{% hint style="info" %}
**Great for** preparing a campaign status meeting. Compare a Milestone’s due date with the linked progress, then open the Job to discuss what remains. A low progress percentage is a reason to investigate the work, rather than an automatic prediction that the date will be missed.
{% endhint %}

## Expand a Group or open its Job

{% stepper %}
{% step %}

### Expand linked Tasks

Click the arrow beside a Group Milestone to reveal its Task rows. Click it again to collapse them. Only Groups with linked Tasks show an expand arrow.
{% endstep %}

{% step %}

### Inspect the work

Read the linked Task names, departments, assigned people and progress before deciding what needs follow-up.
{% endstep %}

{% step %}

### Open the Job

Click the Milestone row to open its [Job timeline](/jobs/timeline.md) with the date and Milestone context. Create or edit the Milestone on the Job; this report is for monitoring.
{% endstep %}
{% endstepper %}

## Print or save the report as a PDF

{% stepper %}
{% step %}

### Prepare the list

Set the date view, Client, Department, Account Managers and Search. Expand any Group Task rows you want included in the printed copy.
{% endstep %}

{% step %}

### Click Print

Click the **printer icon** immediately to the left of Export and Search. The print copy includes the filtered list and the Group Tasks currently expanded on screen.
{% endstep %}

{% step %}

### Save or print

In Chrome’s print dialog, select **Save as PDF** under **Destination** and click **Save**, or choose a printer. Check the preview before sharing it.
{% endstep %}
{% endstepper %}

The printed header identifies the agency, date view, selected filters, search text and Milestone count. Filters, search and action controls are left off the copy. If no rows match, the report shows No results to print.

## Export the report to Excel

{% stepper %}
{% step %}

### Prepare the scope

Set the same date view, pickers and Search you want to export.
{% endstep %}

{% step %}

### Click Export

Click the **download icon** beside Print. It downloads a **.xlsx** workbook named Milestones with the date in the filename.
{% endstep %}

{% step %}

### Review the workbook

The export includes the filtered Milestones, their date-group labels, linked work, Job, Client, Account Manager/people, progress and due-date details. It also includes the linked Task rows for each Group, even when the Group is collapsed on screen.
{% endstep %}
{% endstepper %}

Print and Export therefore share the same filtered Milestones but handle Group Tasks differently: Print follows the expanded screen rows; Excel includes each Group’s linked Tasks. If no rows match, the report shows No results to export.

{% hint style="info" %}
**Great for** a client check-in. Select the Client and date view for the agenda, then print a readable copy of the expanded work or export the fuller Group Task list for an internal WIP spreadsheet.
{% endhint %}

## Why edits happen on the Job

Milestones are read-only in this report. Open a row to reach the [Job Timeline](/jobs/timeline.md), then open the intended Milestone. Edit its date or link, or change the completion circle, and choose Save. A 100% linked progress figure alone does not save the Milestone as completed.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://help.agencydesk.io/admin/reports/milestones.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
