# Accounting

Manage financial integrations and accounts in the Accounting tab. Connect to Xero or create custom accounts for seamless tracking.

## Syncing to Xero

{% stepper %}
{% step %}
Open **Company Settings > General > Accounting**, then choose **Account Actions > Connect Xero** (or **Reconnect Xero** for an existing connection).
{% endstep %}

{% step %}
Log into your Xero account using your credentials.
{% endstep %}

{% step %}
Follow the prompts until you are redirected back to Agencydesk.
{% endstep %}

{% step %}
You can confirm the integration by logging into Xero and going to the **Manage App Connections** section to verify that Agencydesk has been connected.
{% endstep %}
{% endstepper %}

## Importing accounts from Xero

{% stepper %}
{% step %}
After connecting Xero, return to Accounting. **Connect Accounts** opens automatically when you started the connection here. You can reopen it with **Account Actions > Import Accounts**.
{% endstep %}

{% step %}
Review the offered sales accounts by code and name. **Imported** means that account code is already in Agencydesk; it does not mean a Department uses it. Already-imported rows cannot be selected again.
{% endstep %}

{% step %}
Tick the accounts you need and click **Connect Accounts** in the fixed footer. **Cancel** leaves the import unchanged. If all offered accounts are imported, the button stays disabled.
{% endstep %}

{% step %}
After import, check the Accounting list and assign the appropriate **Sales Code** on each Department. Importing an account does not assign it to a Department automatically.
{% endstep %}
{% endstepper %}

For an ad-spend control account that Xero classifies as a liability, use **New Account** and enter its exact Xero code rather than importing unrelated liability accounts. Check the intended code with the person responsible for the agency’s books.

## Adding Accounts

{% stepper %}
{% step %}
Under **Account Actions**, choose **New Account**. The **Add Sales Account** panel opens.
{% endstep %}

{% step %}
Fill in the following details:

* **Account Code:** The account code as referenced in your accounting software.
* **Account Name:** Provide a descriptive name for the account.
* **Integration Reference:** Required by some accounting platforms. This can be the same as the Account Name.
  {% endstep %}

{% step %}
Click the **Save** button to finalise your new account.
{% endstep %}
{% endstepper %}

{% hint style="info" %}
Agencydesk currently integrates only with **Xero**. Support for additional accounting software will be released with future updates.
{% endhint %}

## Check which Departments use an account

The Accounting list’s **Departments** column names the Departments using each account. Click a “+ more” link for the rest, or open the account to read its Departments list. These are read-only references: change the mapping on the Department.

## Switching an account off

{% stepper %}
{% step %}
Find the account in Accounting and check its Departments first. Use the **Active** switch to turn an unused account off.
{% endstep %}

{% step %}
If an active Department still uses it, the change is blocked with a warning. Assign that Department another sales account before trying again.
{% endstep %}

{% step %}
After a successful change, the account is excluded from new Sales Code choices. A record already using it keeps its selected account visible so opening the form does not silently clear it. Switch Active on again to make it available.
{% endstep %}
{% endstepper %}

New Account creates a Sales account; there is no Account Type selector on that form. Before choosing a code, check that it matches the ledger account your Invoice lines should use in Xero.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://help.agencydesk.io/company-settings/general/accounting.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
